Why Migration Feels Hard
Ten years of septic records is not just a customer list. It is properties, tanks, pump-out dates, aerobic contracts, permit numbers, and notes like "lid is under the deck." Losing any of it feels like losing the business's memory, so it is easier to keep doing things the old way.
The good news is that you do not have to move everything perfectly on day one. You need the records you work from every week, in a shape you can trust. The rest can follow.
Step 1: Take Stock of What You Have
Before touching any software, list where your records actually live. For most companies it is a mix of:
- A customer list in Excel, QuickBooks, or another field service program
- Paper service tickets or job folders
- Maintenance contracts, signed on paper or as PDFs
- An older septic program such as SAFE that can export to a spreadsheet
Decide what matters most. For most operators that is active customers, their properties and tanks, current contracts, and the last service date on each tank. Ten-year-old tickets for customers who moved away can stay in the filing cabinet.
Step 2: Clean Up Before You Move
A migration is the best chance you will get to clean house. Fifteen minutes here saves hours of fixing records later.
- Remove duplicates. The same customer entered twice with slightly different spellings is the most common problem. Sort by phone number or address to find them.
- Split combined fields. If one cell holds the whole address, that is fine, but make sure the state is in there. If billing and service addresses differ, keep them in separate columns.
- Standardize dates. Pick one date format for the whole file.
- Mark inactive customers. A simple Active or Inactive column keeps your new customer list focused on the people you actually serve.
Step 3: Get It Into a Spreadsheet
From another program
Nearly every program, including QuickBooks, Jobber and most septic software, can export customers to CSV or Excel. Export everything it offers. Extra columns do no harm, and you choose which ones to keep during import.
From paper
Paper has to be typed in once, and there is no shortcut around that. Keep it simple: one row per property, with the customer's name, phone, email, service address, tank type and size, and the last pump-out date. Start with customers due for service in the next few months, and add the rest as their tickets come up.
Step 4: Import and Review
In SepticCycle, go to Customers and choose Import, then upload your CSV or Excel file. What happens next depends on the file:
- SAFE exports are recognized automatically from their column headers, and you go straight to a preview of what will be created, with no column matching needed.
- Every other file goes to a column-matching step. SepticCycle matches the obvious columns for you, looking at both the header names and what is actually in the cells, and you adjust anything it got wrong.
Before anything is saved you see a preview of the first rows, plus warnings for things like a missing state column, two columns mapped to the same field, or rows with no name. A single import can create:
- Customers, with secondary contacts and separate billing and service addresses
- Properties, with tanks, equipment and permit details
- Maintenance contracts, numbered with your own numbering
- Service history, read from the columns in your file
Contracts can also be imported on their own from CSV or PDF, and past service records can be added to an individual customer later from their Service History tab.
Step 5: Check, Then Switch Over
- Spot-check ten customers you know well. Are the address, tanks and last service date right?
- Look up a few of your oldest records and your newest ones, since those are where problems hide.
- If you find duplicates, merge them with the customer merge tool rather than deleting one.
- Schedule one real job, complete it, and send the invoice, so the whole workflow is proven.
- Pick a switch-over date and stop entering new work in the old system after it.
Running two systems side by side for weeks is where migrations go wrong. A clean cut-over date, even with a few records still to tidy, is better than a long overlap.
