SepticCycle (“we,” “us,” or “our”) operates the website at www.septiccycle.com and the SepticCycle platform (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our Service.

2. Information We Collect

Information You Provide

We collect information you voluntarily provide when you:

  • Create an account (name, email address, password, company name)
  • Set up your company profile (business address, phone number, service area)
  • Add customer records (customer names, addresses, contact information, property details)
  • Create contracts, invoices, and job records
  • Connect a payment processor (Stripe account information)
  • Contact us for support

SMS / Text Messaging

When a septic service company using the SepticCycle platform records SMS consent for a customer, we collect and store that customer’s mobile phone number and consent status for the purpose of sending service-related text messages. This includes appointment reminders, technician notifications, job completion updates, and invoice or payment reminders.

Consent is recorded via an optional, unchecked-by-default checkbox on the customer record form. Mobile phone numbers collected for SMS are used solely to deliver transactional, service-related messages on behalf of the septic service provider. They are never used for marketing purposes and are never sold, rented, or shared with third parties outside of the service providers listed in Section 4.

Information Collected Automatically

When you access the Service, we may automatically collect:

  • Device and browser information (type, version, operating system)
  • IP address and approximate location
  • Pages visited, features used, and actions taken within the Service
  • Date and time of access
  • Referring website or source

Payment Information

Payment processing is handled by Stripe. We do not store credit card numbers or bank account details on our servers. Stripe’s privacy policy governs the handling of your payment information. See stripe.com/privacy.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process transactions and send related information (invoices, confirmations, reminders)
  • Send transactional emails on your behalf (invoice emails, appointment reminders)
  • Send transactional SMS notifications on behalf of septic service companies to their customers (with explicit consent)
  • Respond to your comments, questions, and support requests
  • Monitor and analyze usage trends to improve the Service
  • Detect, prevent, and address technical issues or fraud
  • Send you product updates and marketing communications (with your consent)

4. How We Share Your Information

We do not sell your personal information. We may share information in the following situations:

  • Service providers: We share data with third-party vendors who perform services on our behalf (hosting via Vercel, database via Supabase, email via Resend, SMS via Twilio, payments via Stripe). These providers are contractually prohibited from using your data for any purpose other than providing services to us.
  • SMS / phone data: Mobile phone numbers collected for SMS notifications are never sold, rented, or shared with third parties for marketing purposes. They are transmitted to Twilio solely to deliver service-related messages on behalf of your septic service provider. Twilio’s use of this data is governed by their privacy policy at twilio.com/legal/privacy.
  • Your customers: When you use the Service to send invoices, contracts, or appointment reminders, your company information is shared with your customers as part of those communications.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data Security

We implement appropriate technical and organizational security measures to protect your information. These include encryption in transit (TLS/SSL), encryption at rest, role-based access controls, and row-level security policies in our database that ensure your company’s data is completely isolated from other companies on the platform.

However, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide you the Service. If you close your account, we will delete or anonymize your data within 90 days, unless we are required to retain it for legal or regulatory purposes.

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Opt out of marketing communications
  • Opt out of SMS notifications at any time by replying STOP to any message
